Exhibiting companies are permitted a maximum of three rooms per exhibiting booth.  Additional rooms reserved over the permitted allotment will be cancelled.  Booth registration must be completed and processed within two weeks of reserving your hotel room. If not, your hotel room will be cancelled without notice. 

Exhibitor hotel reservations can be made by directly calling The Ritz-Carlton Toll Free Reservations number at (800) 262-8440 and must be made no later than July 5, 2009 to guarantee the room rates.  Reservations are made on a first-come, first-served basis and are subject to room availability; the discounted rate may not apply after the cut-off date. There are instances where the room block can sell out prior to the cut-off.

Hotel Room Rates, Fees and Cancellation Policy
Room category (room rate per night + taxes + resort fee):

Deluxe	$280.00
Run of Suites	$330.00
Deluxe Ocean View	$350.00
Ocean View Suite	$400.00 (limited number of suites available)

All reservations will require a one night’s deposit.  Deposits will be refunded for rooms cancelled more than 48 hours prior to arrival. 

Above group room rate applies to single/double occupancy and is subject to Hawaii State Excise and Transient Accommodation Taxes, which are currently 11.4166%. The above room rates will be extended to accommodate early arrivals and late departures for the nights of July 20, 2009 (THREE DAYS PRIOR) through August 4, 2009 (THREE DAYS POST).  All extensions are subject to Hotel group room and rate availability.

There will be an additional charge of fifty dollars ($50.00) per day for each additional person eighteen (18) and over, or over two (2) people in a guest room.  The maximum number of people per guest room is three (3) adults or two (2) adults and two (2) children utilizing existing bedding.

All rates are based upon the European Plan (excluding meals) and are subject to all applicable taxes at the time of your Event.  The state room and sales tax is 11.4166% and is subject to change.

Baggage Handling	$8.00 plus tax, per person, based on two movements, mandatory
Golf Bag Handling	$1.00 per bag, per movement, plus tax, mandatory
Resort Fee	$20.00 per room, per day, inclusive of tax, mandatory
Valet Parking	$18.00 plus tax, per night (self-parking is complimentary)
Room Delivery (non-food)	$2.00 per room based on 2 items, mandatory

Resort Fee: $20.00 per room, per day, inclusive of tax, mandatory per sales contract.  The fee includes wireless high-speed internet access, local telephone calls, toll-free telephone access, discounted golf fees and preferred tee times, Resort shuttle services (Kapalua Resort & West Maui Kapalua Airport only), use of our 24-hour fitness center, Aloha Friday festivities and cultural history tours, arts & crafts, self-parking, resort charging privileges at select shops and restaurants, and in-room coffee.   Resort Fee is subject to change without notice.
